Meta Data Meetups

Meetup Event Basics

  • Meetups are micro conferences that happen usually on a workday in the evening. There is a Women And Code moderator and two to three (external) people give presentations. The talks are concluded by informal networking.
  • Events take place once a month. Usually we meet on Thursday evening but Wednesday could also work
  • General Schedule (could be moved by 1h if necessary):
    17:30 doors open & check-in (attendee list, see below)
    18:00 opening by W&&C
    18:10 shoutout by sponsor – female* presenter only

    19:00 break (snacks)
    19:30 SECOND TALK
    20:15 roundup by W&&C

  • Our events are free for participants, but require prior registration.
  • The language of all our events is English to be inclusive as possible.

Participants

  • Participants per event: 35-60 women* – number highly depends on trivial things like relative location in Vienna and weather of that day
  • Attendees cohorts:
    • 80% software engineers (junior – senior) or technicians (devops, security etc.)
    • Rest of participants: from other IT departments like product, UX, design, recruiting, marketing, product development…
  • Age: usually working people of all levels, a few students, less management, meaning age usually around 25-50

Location && Food Sponsoring

Sponsoring for the monthly meetups does not involve any payments (unlike the conference or hackathon)! The sponsor provides the room and amenities for the 3h evening event:

Room

Please provide a meeting / event room with chairs for 40-70 participants, a projector, and general basics (WIFI, toilet etc.).

The room needs to have a projector with HDMI access so speakers can present their slides from their laptops and share their screens with the audience.

If possible please also provide (charged) microphones and maybe a clicker.

Food && Drinks

You as sponsor are also kindly asked to provide food for the meetup.

Food can be f.i. pizza or savoury fingerfood (self-service / buffet), that’s really up to the sponsor. Please offer also vegan options! Sweets would be nice too.

Drinks could be water, non-alcoholic, coffee / tea and optional alcoholic beverages (beer f.i.).

Sponsoring

  • Official and exclusive sponsor for this event
  • Shout out / presentation (5-10 min, English) of sponsoring company – female* presenter only – at the beginning of the event
  • Next to a brief company presentation, we encourage our sponsors also to provide one tech speaker to represent your technical expertise – please refer to Speaker Guidelines if you do so.
  • Sponsors have the possibility for presentation and visibility at the events e.g. roll-up / banners and flyers / stickers / t-shirts / other swag and giveaways.
  • Please share the meetup event on meetup.com also internally for signups. Your employees should also register there if they attend
  • We manage the attendee list exclusively through meetup.com and can optionally share it for you 1h before the event. The maximum number of attendees is defined by your room size. Often events are booked out.

We will

  • Create the meetup.com event (plus optional Linked or Facebook events) about 2 weeks prior to the event with the infos provided (location, sponsor, no. of participants, talks). See previous Women And Code meetups.
  • Manage attendee signups before and at the day of the event: We have the list of participants and will print name tags (stickers) for the events which we use at the check-in (name tag sticker not collected = not attended). Attendees who don’t want their picture taken, get a red dot on the name tag
  • Provide a dedicated Women And Code moderator guiding through the meetup, introducing the hosts, speakers and guide attendees through the course of the evening. The moderator (usually Barbara or Catherine) will also be moderating the Q&A part after each talk.
  • Usually also come to the event with a few Woman And Code helpers wearing our t-shirt (with the W&&C logo). These people are role models and Women And Code evangelists and can also help with logistics e.g. carrying the pizza to the meeting room.
  • Share the event on social media platforms and with our network which includes mentions on the meetup event, social media (Facebook / Instagram / Linkedin) and other communications (newsletter etc). Please feel free to do the same :) – please tag us!

  • Who will present your company in the intro? (female* only)
  • Maximum number of participants (max for the room)
  • Transparent PNG company logo for our announcements
  • Company name (or brand name) and link to website, optional: Instagram or Linkedin account
  • How to find your office – especially if something extra needs to be considered like registration at receptionist / access cards / which elevator to take etc.
